WES - Transcript Application process for SRM university

I had to apply for transcripts from SRM university for my Post graduate Degree. As I couldn't see many SRM university related forums in Internet, I went directly to the university and completed the application process in person.

But the good news is, SRM university has started its Web portal to apply for transcripts!

This will redirect you to the homepage of the portal:


Here you can register by giving your Register number and DOB. 


Check your personal information and key in your mobile number and email ID.

On the homepage, click Applications -> Transcripts


Almost everything is pretty straight forward. You can collect the transcripts in person, authorize a person to collect the transcripts, ask them to send it to you by post, ask them to send it to an authorized person by post. 

For every option, you should give the corresponding information. Also, you should upload the scanned copy of your ID proof and the marksheet.

Documents Required: 
a) Photocopy of Government issued Identity proof of the candidate (Driving License /Passport/PAN Card & Aadhar card) 
b) Photocopy of Consolidated Grade sheet (or) all Individual semester mark sheets (up to last appearance). 
c) If Transcript(s) is collected by an authorized person (relatives), candidate’s authorization letter, Proof of Identity (Driving License /Passport/PAN Card & Aadhar card) of the candidate and Authorized person must be uploaded.

Payment:
No need of DDs! Online payment gateway has been enabled through PayU. 

Other details:

1. You can opt if you want to get the transcripts in a sealed envelope or not. For WES, it should be received in a sealed envelope.
2. Please be noted that SRM university is now providing transcripts only based on Online application.
3. You can opt to get the transcripts sent outside India as well. They charge you around Rs. 3200+Convenience fee (For one set).

Applying for Degree/Consolidated marksheet after Name Change

Scenario: My wife had got her name changed in final year of her study. She had published it in the Government Gazette and also had a letter from Controller of Examinations - Anna university that her name had been changed in the university records. But the consolidated marksheet and the degree certificate held her old name. When we went to apply for marskheet transcripts, the officials told that the transcripts to be issued would also hold the same name that is in the Degree/Consolidated marksheet.

Suggestion: The transcript officials suggested us to reach out to the Controller of Examinations office, which was next to the Transcripts Office-Anna University. I have marked the location below.


Documents needed:
  1. Original Consolidated Marksheet with the old name.
  2. Original Degree certificate with the old name.
  3. Request letter to the 'Controller of Examinations' to provide the updated Degree certificate/Consolidated marksheet with new name.
  4. Demand Draft in favour of "Controller of Examinations, Anna University, Chennai - 600 025" payable at Chennai.
    • DD for Rs.500/- for Degree certificate
    • DD for Rs.200/- for Consolidated marksheet
  5. Self-addressed A3 Envelope (available in the Co-operative store marked below) with Rs.60/- Postage. (Stamp is available in the nearest post office marked below).
These documents need to be submitted in the Controller of Examinations office marked above. The originals with updated name will reach the address marked in the envelope within 30-40 days.

WES Transcript application procedure for Anna University

RECENT UPDATE: WES doesn’t accept sealed envelopes sent directly by applicants anymore! Effective Dec 1, it accepts only the sealed envelopes directly sent by the university! Process for offline application would be the same, I believe. But I am not sure about how much does the university charge for sending courier to WES Canada. Please contact the transcripts office for more information. I will update if I get any info. Thanks for understanding!

I recently went through the process of applying Transcripts for my marksheets and Degree certificate from Anna University (Affiliated colleges) for my immigration process. Doing so, I went through a few problems and thought of sharing them on the web, which might help someone who does the same.

As per WES process, you need to get the below documents from Anna University.
  1. Transcripts for your Consolidated Marksheets and Degree certificate.
  2. Letter from the university stating they wouldn't issue semester-wise marksheets' transcripts.
  3. WES form signed by University.
If the applicant cannot visit in person, he/she can send an authorized person on his/her behalf to apply for transcripts (With authorization letter signed by the applicant* - Mandatory)

Before reaching the office, make sure that you keep the below document sets ready.

Required docs - Transcripts of Consolidated Marksheets and Degree certificate:

Note: No originals are required to be submitted at the Transcripts office. So, there is no need to carry originals to the office. But for safety, you can. 

Below are the documents required for getting transcripts of Consolidated Marksheet and Degree certificate:
  1. Proof of DOB: 10th/12th Marksheet/Birth Certificate - 1 copy (Back to Back)
  2. Govt. issued Photo ID proof: Passport/DL/Aadhar/PAN -1 copy (Back to Back)
  3. Consolidated Marksheet - 1 copy (Back to Back)
  4. Provisional/Degree certificate - 1 copy (Back to Back)
  5. Demand Draft (Rs.500 per set of transcript applied)  (Name, College, Mobile no. written in the back side)
  6. A3 size Cloth cover - 1
  7. Carry a passport size photograph (mentioned in guidelines) - (Mandatory now - Please write your name and mobile number in the back side).

Required docs - WES Form:
  1. WES form downloaded from WES website - 3 Copies
  2. Degree/Provisional certificate - 1 Copy
  3. Transfer Certificate/Course completion certificate - 1 copy
  4. Consolidated Marksheet - 1 copy
  5. Demand Draft Rs.200/- (Name, College, Mobile no. written in the back side)
Note: I had completed my P.G. in a deemed university, so I couldn't produce Transfer Certificate from Anna University, so they asked for Course Completion certificate copy.

Required docs - Non-Issuance of semester-wise marksheet transcripts :
  1. Degree/Provisional certificate - 1 copy
  2. Consolidated Marksheet  - 1 copy
  3. Demand Draft - Rs. 200/- (Name, College, Mobile no. written in the back side)
Note: DD in favour of "Controller of Examinations, Anna University, Chennai - 600 025" payable at Chennai.

Procedure to apply:
  • Show the three document sets to the person at the counter.
  • He/She will give you 3 application forms: for transcripts, WES form and for Non-issuance of Semester-wise marksheets.
  • Fill them with your details and sign accordingly.
  • Write your name, Reg.No., College name at the back of the Demand Draft and the front of A3 cover.
  • In WES forms (3 copies), fill in your details in the upper part.
Note: There is no need to write any letters requesting for WES, non-issuance of semester marksheets, etc. You have forms for everything.

Personal Notes:

  • I went on a Friday and there was no crowd.
  • There is a small room, right side to the office, where you can sit and fill in forms. 
  • Office is open on all days except Sunday.
  • Working hours are 10am - 5:45 pm
  • Lunch Hours 1:30pm - 2pm

  • You need to walk a lot if you need to take DD and Xerox, so its better if you can take them a day before.
  • For my wife, there was a change in Name which was already taken in the University records, but not reflected in the degree certificate/Consolidated Marksheet. So, transcripts office refused to provide transcripts under the changed name. So, I had to follow another procedure, which I have explained in the below post. This may be helpful for those who have done name change and need transcript under new name.
  • Edit: Passport size photograph is mostly not needed if you studied in Grade system. To be in safer side, its better to carry one or two passport size photographs in hand to avoid any hassles on the spot.
